What we collect when you write to a business using Fireclay Chat, why we have it, how long we keep it, and how to have it erased.

Who we are

Fireclay Chat is a service operated by Fireclay Corporation. Businesses use it to answer their customers on their own website, on WhatsApp, on Messenger and on Instagram.

When you chat with a business that uses us, that business decides what is collected and why — they are the data controller. We hold and process it on their behalf, and only to run the chat.

What we collect

What you write, and what the assistant or the business's staff write back. Photos you choose to send are included.
Contact details you give — a name, an email address, a phone number — when you type them into the conversation, for example to ask for an appointment.
Where the chat happened: which business, which channel (website, WhatsApp, Messenger, Instagram), and the time.
Technical basics needed to run the conversation and stop abuse: the website address the chat was opened from, and the IP address of the request.

We do not run advertising, we do not sell anything to anybody, and we do not build profiles of you across businesses. One business cannot see another business's conversations.

Why we have it

To answer your question and, when the assistant cannot, to hand you to a person.
To let the business read the conversation afterwards and follow up.
To keep the service working and safe — limits against flooding and abuse.
To count usage for billing the business. Those counts are numbers, not your words.

Who else sees it

To produce an answer, the text of the conversation is sent to the AI provider the business's assistant runs on — currently Groq and OpenAI. They process it to generate a reply. It is not used to train their models under the terms we operate on.

The service runs on Google Cloud (Singapore) and stores data in Neon (Singapore). Email notifications to a business are sent through Resend.

If you write to a business on WhatsApp, Messenger or Instagram, Meta also handles that message under its own privacy policy, as it would for any message on those apps.

We disclose data to nobody else, except where the law requires it.

How long it is kept

Each business chooses how long its conversations are kept, and a nightly job deletes everything past that window. The shortest setting is one day. If a business chooses nothing, conversations are kept until they do.

You are talking to software

Every chat says so before you type, and you can ask for a person at any time — in those words, in your own language — and the conversation is handed to the business's team.

Having your chat erased. Ask the business you were chatting with: they can delete a whole conversation from their own screen, and it is gone. If you cannot reach them, write to us at privacy@fireclaycorp.com and we will pass it on and see that it is done.

Your rights

Depending on where you live, you may ask for a copy of what is held about you, ask for it to be corrected, or ask for it to be deleted. Because the business is the controller, the quickest route is to ask them directly. Asking us works too — we will act with them.

Children

The service is sold to businesses and is not directed at children.

Changes

If this policy changes, the date at the top changes with it.
